Frequently Asked Questions
 
1. How do I know if I am considered essential personnel and required to work overtime in preparations of a hurricane?
Your position description should state whether your position is considered essential. If you do not have a copy of your position description, and/or not sure whether your position is considered essential, please consult your department head. If you department head cannot provide an answer, you may contact the Division of Human Resources.

2. Should my position be considered essential and I am required to work, will I be compensated?
If you are in a non-exempt position, you will be entitled to overtime compensation at one and one-half times the hourly rate for all hours actually worked in excess of 40 hours in a work week.

3. I work at FIU and want to make sure my car is safe. Can I leave it in the garage?
Yes, you may leave it in the Blue Parking Garage. Accommodations are on a first come, first serve basis.

4. When will the Universityclose during inclement weather?
The President and the Executive Committee take a number of factors into consideration in making this decision, the most important being the advisories from the National Weather Service and declarations from the Dade County Office of Emergency Management. Once the decision is made, the University community is notified by e-mail, the FIU web-site, flyers and signs. The FIU Emergency Information line: 1-888-FIU-4911 is updated regularly by the Office of Media Relations.

5. Can I stay at the FIU shelter in PC?
The Primera Casa shelter is reserved by the State of Florida, for Monroe County residents who need a safe refuge from a hurricane threat. If you need to take find a local shelter, log on to the Dade County Office of Emergency Management from the Home Page. As a Dade County Resident this is your best resource at the time of an emergency.

6. Does the FIU clinic provide care to university employees at the time of a declared state of emergency?
During the recovery phase, the general medical clinic will be open to provide basic first aid, including tetanus vaccines and referrals to local facilities for more severe cases.

7. Where can we obtain building floor plans/campus site plans to help us prepare our Functional Unit Plans or submit damage reports?
The facilities planning web page facilities.fiu.edu or by contacting Facilities Planning offices at 305-348-4070.

8. When will the Library reopen?
The decision to reopen the Library or any other facility on campus is made very carefully, with due consideration to safety and support services that will be available for students returning to campus to use the facility. Please check the schedules provided in the routine e-mails distributed to the University community by the FIU Office of Media Relations.

9. What if I am in no shape to return to work or to classes because I have been injured or I have lost my home?
If you are an employee, please contact the Human Resources Department as soon as possible - there is a review committee that can review your situation. Students should contact their professors as soon as possible to discuss your situation and your options.

10. I’m afraid that I may not be able to handle the stress associated with returning to work in the immediate aftermath of the hurricane – what can I do?
Contact the office of employee assistance at 305-348-2469. Professional staff will discuss your situation and assist as appropriate.

11. Is there any way possible that I can access my office during the storm, I have on going experiments that would be compromised if left unattended.
If you need to access your research immediately after a hurricane event, please contact the Office of Emergency Management at (305) 348-6975 to make arrangements to be designated an “essential emergency employee” thereby allowing immediate access to you work immediately after the hurricane event. This should be done well in advance of an event and is the only option as all buildings are closed and locked-down during a hurricane event.

12. Who supplies the items we need to secure my office - such as: tape, plastic wrap etc?
The FIU- Office of Emergency Management has custom kits available. Each kit is expected to support an average office of 10 persons. The cost is $90.00. Please contact the FIU-OEM Office at (305) 348-6975 or 305-348-2621. Bear in mind that these are generic kits and you may need additional supplies for your operations.

13. Who do I call if the university is closed and I need counseling or psychological support?
Dade’s crisis line is 305-358-help. Broward’s crisis line is (I’ll get that number) In case you feel threatened or at risk, 911 is an option but only in extreme emergencies.

14. How do I purchase items if the system is down or not accessible during an emergency event?
Purchasing has emergency PO numbers available to departments needing to make emergency purchase. Contact Orlando Valdes at 305-348-1242 or Ed Vasquez at 305-348-1250 for emergency PO numbers. It is best to obtain this list before the University closes.

15. Can I use my Visa procurement card for emergency purchases?
Yes, purchasing can use their Visa purchase cards to purchase emergency items. If a temporary increase to credit limits are required, contact Orlando Valdes 305-348-1242 or valdeso@fiu.edu

16. Where will resident students be sheltered in the event of a hurricane evacuation?
While all residents are encouraged to seek safe shelter off campus, those from outside of Miami-Dade, Broward, and Palm Beach counties are eligible to remain in our on-campus shelter for residence hall students. This shelter is in Everglades Hall.

17. Will e-mail, web and modem pool services be available?
Yes, e-mail, web and modem pool services will be available provided the PC building, UPS and generator hold during the storm. Note that the UPS was recently upgraded and thus we no not expect any problems.

18. Will network and voice services be available once the university closes?
Yes, network, Internet and voice services will be available with the following exceptions: Biscayne Bay (except for public safety and housing) Wolfonian Museum, Metro Center, Performing Arts, college or education, trailers, such as: pantersoft and flood prone areas. In the event of a power outage on the campus, services will remain operational for about an hour, when UPS batteries will be drained.

19. Is the plan for BBC the same as UP?
Basically the same plan except that Biscayne Bay is evacuated before the storm. Students are transported to UP prior to the event. All preparation and check list are the same. Biscayne Bay resident students are evacuated to University Park if a mandatory evacuation is issued for that area.

20. How does the University announce closing?
This type of decision is communicated directly to deans and directors and is also posted on the FIU website immediately!

21. How soon will residents and Wolfsonian staff be permitted to return to the beach if the beach is evacuated?
Our contact with Miami Beach police will advise when the beach is accessible. The Facility Emergency Management Coordinator will pass that information along to all staff via phone tree.

22. How do I know my building is safe to re-enter and occupy?
Facilities management/facilities construction will inspect buildings, either by in-house professional staff or by consulting architects and engineers, and determine the structural integrity of a facility. If required, FIU’s building official will designate any unsafe structures as closed.

23. My building has shuttered over windows and doors. I must stay as long as possible in order to protect my experiments. Can I stay in my building?
Some of our older facilities have shutters over doors and windows. When these are closed, the building cannot be occupied as means of entry would be blocked. Newer facilities constructed under the Florida building code feature impact resistant windows and doors, where this is not a problem. Regardless, faculty and staff must adhere to FIU emergency operations policy and procedures regarding occupancy during hurricane conditions.
